A transportation guide

Event Standby.

A useful event transport discussion starts well before the first guest arrives.

01 / Understanding the category

The coordination behind it.

Event standby refers to planning for medical support at a gathering. On-site support, emergency response and patient transportation are different responsibilities; an event organizer should clarify each rather than assume one arrangement includes all three.

When to start the conversation

For an event inquiry, prepare the venue, dates, expected attendance, operating hours and the organizer’s contact information. Discuss local requirements with the venue and relevant authorities; a website service description is not an event safety plan.

02 / Planning the conversation

Connect the details.

  1. Outline the event

Describe its location, schedule, attendance and access points.
  2. Separate the responsibilities

Ask specifically about on-site support, transport arrangements and emergency escalation.
  3. Confirm the scope

Document the agreed contacts and arrangements before treating any service as booked.

EVENTS

Define the event. Clarify the responsibilities.

Ask what has been agreed, who is responsible and how an emergency will be communicated. Keep the event’s emergency instructions accessible to its staff.

03 / Useful questions

Make the next step clear.

  • Who is the event’s primary contact?
  • What access information should a responding team have?
  • What is the event’s emergency communication plan?

Contact MEDICS to discuss a transportation request. The appropriate arrangement and availability must be confirmed for the individual trip. Keep patient and medical details out of general email.

The next step

Talk through the next step.

For a life-threatening emergency, call 911. For a planned transportation question, contact MEDICS.
